Job Description:

To provide administrative support to the University of the Witwatersrand, Human Research Ethics Committee – Medical (HREC)

Job Responsibilities:

  • Print a checklist for each study captured and forward the checklist to the Sponsoring Company/Principal Investigator (PI) to check if the captured information is correct and captured according to the standards
  • Record and capture new clinical trials and assign a number for each new clinical trial Check information on the contracts and ensure that all legal requirements are met
  • Raise invoices for new trials and amendments
  • Prepare letters for all the different reviews and send packs to Ethics Chairperson, Protocol/Expert Reviewers, and Ethics Assessors, as per the collation schedule
  • Filing of clinical trial documentation
  • Process amendments and acknowledgments in appropriate timeframes
  • Process Serious Adverse Events (SAE), Deviations/Violations in the appropriate timeframe
  • Ensure effective tracking of documentation and maintain the database to ensure data integrity
  • Scanning and emailing letters to stakeholders
  • Assist in the process of Annual Recertifications according to the Office of Human Research Protections (OHRP) Guidelines
  • Retrieve documentation from archived boxes

Job Requirements:

  • Must be assertive, confident, and adaptable
  • Able to exercise discretion, high levels of initiative, and independent decision-making
  • Knowledge of Good Clinical Practise (GCP)
  • Self-motivated, able to work independently and work as part of a multidisciplinary team
  • Excellent communication skills (both written and oral)
  • Able to work in a demanding environment and adapt to changes
  • Attention to detail

Qualification & Experience:

  • Grade 12
  • Knowledge and proficiency in Microsoft Office especially Access
  • Experience working in a clinical research environment
  • Good administrative skills, filing, archiving, and general office practice principles
  • Able to maintain confidentiality, tact, and professionalism at all times
  • Minimum of 2 years of administrative experience
  • Experience in data capturing and use of comprehensive database
