Job Description:

Our ideal candidate will have a passion for property administration with strong administrative and communication skills who is able to work to deadlines in a pressurised environment. The successful candidate will be able to work well independently and be able to assist the Company Secretary with administrative tasks and display high energy levels required for this fast-paced, exciting and dynamic retail property role

Job Responsibilities:

  • Assist the Company Secretary with administrative tasks
  • Maintain and file all lease agreements
  • Handle all correspondence relating to leases and landlords
  • Liaise and build relationships with property owners
  • To ensure that all documentation with regards to property contracts are correctly and timeously filed.
  • Assist with statutory documents and file accordingly
  • Resolving property queries and maintaining a comprehensive and up-to-date database of property owner correspondence within the limits and boundaries of binding contracts of parties as well as legislation.
  • Accurately load leases onto the Property Management system and ensure that all necessary changes are made when required.

Job Requirements:

  • The agility and resilience to maintain high levels of drive and initiative under pressure
  • Ability to work in a pressurised environment within time constraints
  • Excellent administration and numerical skills
  • Able to build and maintain influential relationships at various levels and across business functions
  • Well defined planning, organizing and time management skills with a high attention to detail
  • Effective verbal and written communication skills
  • Ability to build relationships & resolve conflict with various stakeholders

Qualification & Experience:

  • Good understanding of property administration and leasing
  • Administrative, property, legal, or accounting oriented tertiary qualification
  • At least 5 years’ experience of working in a similar role dealing with leases and property owners, throughout Southern Africa, on a regular basis.
  • A working knowledge of the latest Microsoft packages is required
  • Commercial Law and related Property Law experience
  • Property management system knowledge
